The APAC Marketing team is responsible for development of marketing strategies for the region that covers branding, delivery of thought leadership, product marketing and marketing communications across offline and digital channels.  Reporting to the regional Chief Marketing Officer, the Executive Assistant will be responsible for providing secretarial and administrative support. 

 

Major Responsibilities

  • Responsible for all daily administrative supports and day-to-day office management

  • Coordinate meetings within the region as well as with the US and with EMEA

  • Understand priorities to effectively manage the calendar; proactive in spotting conflicts and planning ahead

  • Coordinate frequent travel arrangements that will include airfare, hotel and transport bookings

  • Responsible for timely processing of all invoices, handling vendor queries and liaising with the US team for relevant approvals

  • Prepare, reconcile, and track expense reports

  • Collate and maintain marketing processes, and ensure archive of meeting, approval and any important documents

  • Understand thoroughly the firm’s policies to ensure compliance with internal requirements

  • Handles matters expeditiously, proactively and follows through to successful completion within required timeline

  • Provide administrative support to key partners such as travels arrangement as and when required

Requirements

  • A minimum of 8+ years of experience as an Executive Assistant required

  • College degree or equivalent preferred

  • Excellent in multi-tasking, organizing, and prioritizing a must

  • Positive, pro-active, responsible, responsive, and energetic

  • Able to work in a fast paced environment

  • Strong problem solving with ability to get things done

  • Strong written and verbal communications skills in English

  • Detail oriented with ability to work independently and prioritise workload

  • Demonstrates a high level of integrity and professionalism

  • Flexibility with work schedule to provide urgent/adhoc support outside standard work hours as and when required

  • A  good team player with proven ability to work well with others
