Key Accountabilities/Major Responsibilities:

 

An Executive Assistant position has arisen within the Fixed Income team in Sydney. This role will suit a career Executive Assistant who is able to professionally manage a multitude of responsibilities in a fast-paced environment. The right candidate will have the ability to anticipate needs whilst being flexible in approach and hours. Must have a minimum of 5 years’ experience working in a similar role and environment.

Reporting to the Business Support Manager, the role will be supporting a team in Fixed Income which includes the Markets Business Manager as well as the Markets Sales Business Control Officer. Responsibilities include, but are not limited to:

  • Diary management over different time zones 
  • Comprehensive travel management for both domestic and international 
  • Client liaison 
  • Organising client and ad hoc lunches or events 
  • Ownership of Expense administration for the team 
  • The ability to work with a range of personalities 
  • Arranging room bookings, catering and video conferencing facilities as required 
  • Drafting and typing of letters, memos, emails etc 
  • Answering Telephones and taking ownership of internal and external calls 
  • Maintain effective and professional relationships with Senior Management, Executive Assistants, clients and visitors 
  • Assist with staff onboarding 
  • Assist team with IT issues / requirements - escalations 
Qualifications/Experience/Skills Required:
  • Excellent communication skills, both written and verbal
  • Team focused with a flexible attitude
  • Excellent organisation and time management skills
  • Ability to prioritise workload and think logically
  • Strong attention to detail with accurate typing skills
  • Be committed in approach and open to business changes
  • Demonstrate the utmost discretion and professionalism at all times
  • Ability to demonstrate initiative
  • Professional telephone manner
  • Proven ability to build relationships with clients and with colleagues
