The Legal Department of JPM is responsible for the provision of legal services to the firm. The department also includes the Office of the Secretary.
The Office of the Secretary, headed by the Corporate Secretary who reports to the Firm's General Counsel, partners with Senior Management, Directors, control groups, LOBs and corporate units to promote effective and consistent governance of the Firm, its branches, subsidiaries and affiliates (each, an “Entity”). The team also maintains the legal good standing status of these Entities in the required jurisdictions with responsibility for various regulatory reporting in all locations.  
The role and key responsibilities:
The Legal Department of JPM is seeking a highly motivated individual to join us as a member of the Office of the Secretary.  You will be based in Beijing, reporting to the Head of the Office of the Secretary for China.  This role will suit a career Administrative Assistant able to professionally manage a multitude of responsibilities in a fast-paced environment.  You should have the ability to anticipate needs, be flexible in approach and have good communications skills to feedback work in progress updates.
Your responsibilities will include, but are not limited to:
  1. Assisting team members with Board support, including assisting with preparation of Board and Board Committee meetings, agendas and papers, meeting calendars, meeting room bookings, tracking of Directors’ meeting attendance, induction and training and managing logistics for such trainings
  2. Expense administration, including the tracking of external vendor engagements and invoice processing
  3. Diary management, room bookings and arranging teleconference facilities as required
  4. Coordination of travel
  5. Providing Powerpoint presentation support
  6. Telephone liaison, internally and externally – telephone screening
  7. General office administration including filing, photocopying
  8. Administrative duties, such as coordination of administrative/departmental procedures, and distribution/collection of information
  9. Assisting with documentation management, including scanning and uploading of documents to internal documentation systems
  10. Handling sensitive personnel related documents (where required)
  11. Scheduling appointments and performing other duties related to maintaining senior team members’ schedules as well as for senior visitors from other locations
  12. Other duties or tasks that arise on a day-to-day basis
  • Ability to demonstrate utmost discretion and professionalism at all times
  • Ability to prioritize workload and deliver competing requirements/deadlines in a professional manner

  • Good knowledge of various basic Microsoft applications – Word, PowerPoint, Excel, Outlook

  • Experience in the legal or financial services sectors preferable
