Position Description:

The Private Bank Client Service Specialist (CSS) Team are the primary contact for all service related needs of a Private Banking client.  A CSS works with bankers, investors, various product specialists, mid-office and operations teams to deliver a seamless and integrated experience to our clients across all Private Banking services and products.
The team coordinator will perform diverse administrative functions requiring confidentiality, initiative and sound judgment. The successful candidate will possess good attention to detail, structure, quality focus, high energy and flexibility to a high-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output.
As Team Coordinator, your duties and tasks mostly reflect variety and complexity, requiring judgment and experience to successfully accomplish tasks with limited direct supervision.  You will apply well-honed skills and adapt procedures, processes and techniques to the completion of assignments.
Core Responsibilities will include but not be limited to:
  • Providing administrative support to the Client Service Team and Regional Service Manager.
  • Diary management and arranging meetings.
  • Manage daily inquiries accurately, within established deadlines, and in accordance with existing policies and procedures
  • Assist the team in production of monitoring reports for daily transactions
  • Monitoring and assisting phone calls within the team and making sure there is coverage at all times.
  • Managing staff on-boarding & off-boarding logistics.
  • Providing general support including photocopying, booking meeting rooms, stationery re-ordering, typing, filing, mail, etc.
  • Assisting in ad hoc project administration support when required.
  • Managing and distributing unassigned mail within the team, including returned client mail.
  • Preparation and management of Client Service Awards programme
  • Coordination of team reporting, including remediation efforts or initiatives.
  • Archive record keeping and administration
  • Making team travel arrangements, coordinating logistics for business trips and preparing itineraries.
  • Invoicing and processing of expense claims and related record-keeping. Ensuring that expense statements are within the 30 days requirements.


Essential skills/experience
  • Fluency in English, French & Spanish is a prerequisite. Portuguese would be an asset.
  • Administrative assistant experience with a top-tier asset manager or bank preferred.
  • Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint)
  • Ability to adapt procedures, processes and techniques to the completion of assignments. Attention to details.
  • Tact and good judgment in confidential situations and proven experience interacting with senior management.
  • Strong time management and ability to identify/prioritize managers calendars.
  • Superior oral and written communication skills suitable to the professional environment - able to generate high quality emails and messages to individuals at all levels of the organization.
  • Able to work with minimal supervision – works well individually and in teams; shares information, and supports colleagues.
  • Ability to network in the organization and find the answer.
  • Demonstrate sound judgment and discretion in handling confidential and sensitive topics.
  • Flexible, willing and open to change
  • Exceptional follow-up and follow-through skills.
