Trade Finance is a credit based product which is highly complex and requires a significant amount of expertise. Whether we are providing a small value rental guarantee or $100mm financing transaction, our focus is on providing a first class service to our clients.
Documentation Preparation (Doc Prep) Role:
The Documentation Preparation Transaction Processing Specialist will perform day-to-day diverse tasks pertaining to Letter of Credits for bank clients and will serve as the main Export Letter of Credit operations representative for the services to clients in relation status of advising, amendments, document preparation and examination/negotiation, payment and all related communications under Letter of Credits
Working independently within a team and under minimal supervision, perform the following detailed activities:
  • Knowledge and understanding of swift and mail Letter of Credits and/or amendments for workability from Doc Prep perspective (as beneficiary's agent) and communication to client of DocPrep team findings if there are terms within the LC/amendment which could present a concern at time of document preparation as it relates to timing and/or LC compliance, including offered solutions, engaging risk/advising teams as needed.
  • Collation of documents required under Letter of Credit prepared within Document Preparation system (DPS).
  • Communicating directly with other document issuers (freight forwarders, carrier's, agents, consular service provider for Chamber of Commerce, Inspection company, Insurance company, beneficiary, etc.) for the issuance of LC required document(s) and provide Doc Prep team’s opinion/solutions for LC compliance while facilitating timely collection of LC required documents.
  • Perform beneficiary actions under letter of credit by sending shipment advice or other notifications within LC time allowed periods.
  • Presentation of documents under Letter of Credits in conformity to Letter of Credits terms and conditions and clients instruction.
  • Communicate all discrepancies identified by Doc checking team to client with suggested solutions for further action as necessary.
  • Respond to or initiates telephone calls, emails, faxes, swift, correspondence from clients and banks.
  • Track and record detailed information in DPS Reporting System.
  • When requested by Manager generating client and other reports in DPS
  • Query handling by providing update on status of Export Letter of Credit and Collection process by managing mailbox and/or perform other back up duties as needed.


    Key Skills:
    • Strong German and English written and verbal communication skills are required
    • Preferably previous Trade related banking experience in Letter of Credit processing
    • Ability to work effectively under pressure controlled by multiple deadlines
    • Strong attention to detail
    • Planning, organization and attention to timeliness
    • Experience in working independently and in a team environment with the ability to accept constructive feedback if applicable
    • Willing to commit to the day to day responsibilities as well as the ability to adjust and understand procedures as reflected by client standing instructions, Standard Operation Procedures
    • Good PC skills with a proficiency in Microsoft Word, Excel required
    • Excellent interpersonal skills to facilitate customer service and teamwork
