Business Banking (“BB”), a division of Consumer and Community Banking, provides deposit, credit and cash management services to companies with up to approximately $20 million in annual revenue.
Asset & Wealth Management serves institutional, ultra-high net worth, high net worth and individual clients through its Asset Management and Wealth Management (“WM”) businesses.
Wholesale Lending Services (WLS) exists within Commercial Banking and provides loan servicing functions to all four JPMorgan lines of business. These functions include loan documentation, closing and funding, payment and fee processing, syndication loan and trade processing, credit administration and collateral perfection and management. The Executive Administrative Assistant will support the Head of Continuous Improvement within WLS and will also provide departmental support for a variety of administrative tasks and key projects. This candidate must lead all initiatives from conception to completion and will require confidentiality, sound decision-making, and independent judgment.
The successful candidate will possess structure, attention to detail, quality focus, high energy and flexibility in a high-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Candidate will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. Some responsibilities may involve confidential information and working with a variety of key partners at various levels of the organization.
• Executive Support
Responsible for the coordination and logistics of internal and external meetings
Arrange and coordinate complicated domestic and international travel
Process invoices and T&E expense claims. Ensure all policies are followed and items are processed within provided guidelines. Subject matter expert for T&E policies and procedures.
Partner with other Executive Assistants to organize all aspects for offsite conferences; including catering and transportation
Work cooperatively with executive administrative assistants to provide back-up support for other executives
Lead and coordinate adhoc projects as requested
• Department Support
Order general office supplies
Coordinate staff onboarding and off boarding including purchase/setup of technical and telephonic equipment; including system access
Manage site location technology & telephone equipment inventory
Serve and the liaison for the Smart Print program, including maintenance/repair coordination
Coordinate departmental meetings including meeting space, telepresence, equipment & catering
Assist with site location Real Estate moves
• Minimum 5 years senior executive secretarial experience
• Proven PC skills, proficienvy in all Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
• Enthusiastic, self-motivated, flexible and effective under pressure
• Outstanding organizational and time management skills
• Excellent verbal and written communication and interpersonal skills required with the ability to produce high quality emails and messages to individuals at all levels of the organization
• Self-starter with the ability to work in a high pressure environment; works well individually and in teams, shares information, and supports colleagues
• Knowledge of JPMC systems for Outlook calendaring, travel, expenses, technology i.e. EURC (Request Center), Concur, GSP (Global Supplier Portal), Ariba, and Travel Express is a plus
• College degree is a plus
