The Executive Assistant supports 6-7West Region Equity Salespeople by answering phones, scheduling meetings, assisting with client requests, submitting expense reports, scheduling travel and assisting with marketing roadshows. *LI-POST

Key elements of the job:
• Email / Phones. Exceptional attention to detail is required.
• Expense Reports. Concur is used to process the team’s heavy volume of expenses.
• Booking travel. The sales team travels primarily in the West but also throughout the U.S. and internationally.
• Scheduling. The assistant will schedule analyst marketing & deal/non-deal related meetings with our institutional investor clients.
• Catering. The assistant often orders catering to client meetings.
• The work day begins at 5:30am-2:30pm., and the role will offer ample opportunity for overtime.

 

Requirements:
• Minimum 3 years of experience as an executive administrative assistant.
• Must be punctual
• Upbeat personality with superior interpersonal and communication skills, both written and oral, and excellent telephone etiquette
• A proactive mindset
• Extremely organized and detail-oriented with strong commitment to accuracy
• Handle regular activities without prompting, and advise in advance with issues or delays
• Absolute tact and discretion when dealing with confidential matters; proven experience interacting with senior management
• Sound judgment and excellent problem-solving skills
• Strong initiative, energy and confidence to complete projects with limited supervision
• Must exhibit a high degree of motivation, sense of urgency and professional demeanor
• Ability to multi-task and ensure multiple projects are completed on time
• The ability to be an integral member of the team
