The analyst: event planner is a key integral component of the Private Bank EMEA events team and will assist in all aspects of client event activities. The main responsibility of the role is to work with and support the event managers in creating and executing client events from beginning to end. In addition to supporting the events team on event related responsibilities the event coordinator will maintain calendars, databases and supplier/venue information. The coordinator will primarily focus on the PB EMEA markets but can be involved in large events targeting a global client base. The job demands interaction with colleagues on the EMEA regional event team, Global event team, marketing,     PB EMEA market managers, bankers and product partners. The event team’s goals are to help PB EMEA markets increase client business/deepen existing client relationships, create and drive efficiencies for internal partners and maintain the J.P. Morgan brand standard in all events. Highly pressurised position, demanding accuracy, long hours and some local and international travel.

 

Main Duties:

  • Collaborate with senior regional  event managers and global marketing teams and assist on overall event planning and execution
  • Understand target audiences and assist teams to develop as event strategy that supports business goals
  • Collaborate with Events and Marketing colleagues on idea generation
  • Maintain monthly event calendar, Events Webpage on the intranet and attendee tracking information as needed
  • Understand, create and manage event budgets ensuring details updated in SharePoint
  • Manage data collation associated with Event Launches, nomination templates, client briefings etc.  including the creation of deadlines to allow for necessary compliance review and approval
  • Research venues ensuring all are in line with required Legal and Compliance and Third Party approval
  • Being aware of impact of legislation on events such as GDPR, Mifid II
  • Sourcing venues and suppliers for events, ordering gifts and merchandise for events
  • Maintaining stock levels of event materials/stationary/supplies
  • Management of status reports for client events and global programs (nomination lists, attendee lists, rooming lists)
  • Assist with the collation and submission of client briefing materials when required.
  • Participate in weekly team meetings and contribute with new ideas
  • Event administrative responsibilities (creation of invitations in partnership with Marketing, creation of nametags, place and table seating cards, menu cards as well as collation and shipping of stationary and marketing collateral for the events, assistance with set up of onsite office)
  • On-site support at events with some travel

Other Duties:

  • Process invoices, update budget document and process BTA Card charges
  • Assist with the planning and delivery of London based roadshow presentations

Skills required:

  • Experience in marketing and event management related activities in financial, professional services or luxury brands

  • Must think strategically; identifies issues and finds a creative solution

  • Must be able to multi-task and work under tight deadlines

  • Prior experience in data and budget management

  • Excellent organisational skills and exceptional attention to detail

  • Ability prioritise workloads to meet internal client demands

  • Excellent analytical, verbal and written communications skills

  • Ability to demonstrate utmost discretion and professionalism at all times

  • Committed and enthusiastic in approach and flexible attitude towards working hours and travel

  • Strong team player

  • Proficiency in Excel, Word & Power Point
