Job Description:
The Documentation Management Operations is part of Corporate & Investment Bank Operations and supports documentation functions for most businesses throughout the Wholesale Bank as well as provides support to the Private Bank.  It is a global team and supports the Americas, Europe (including Middle East & Africa) and Asia.
The group’s primary functions are in support of a firm-wide document management governance policy and framework.  More specifically we are responsible for:
  • Document lifecycle management (e.g. Validation, capture, storage and retention management) for in-scope documents
  • Coordinating, reviewing, and extracting terms from finalized client-facing agreements and documents
  • Recording and distributing information electronically to support credit, securities lending, derivative trading, management reporting, and the exposure and limits monitoring for the firm
  • Providing crisis management support to Legal, Compliance, and Front Office in the event of client default, or country/industry business disruptions
  • Change management to support technology and process improvements, new products and business, and regulatory developments
The team is executing a transformation agenda, which includes implementing significant technology and operations changes, as well as the integration of new functions and personnel.  This resource will support the change management process for various initiatives.
Key Responsibilities
·         Manage documentation aspects of Client on boarding including documentation review and quality control
·         Support the execution of automated workflow which includes scanning and indexing of client on-boarding documentation
·         Work closely with business partners and other team members across regions to maximize effectiveness of documentation management-related initiatives
·         Work closely with managers to provide feedback to continuously improve document management technology and workflow
·         Provide administration support, tracking and reporting as required
·         Perform due diligence process and control-related activities
Skills & Qualifications
  • Graduate-level education, preference will be given to Law graduates
  • 1 to 2 years of operations experience, or equivalent
  • Proven project management experience, a plus
  • Legal Documentation of Paralegal experience is a plus
  • Detail oriented and methodical
  • Excellent time management and organizational skills
  • Proficiency  in MS Office applications
  • Strong teamwork and partnership ability
  • Strong and effective communication (verbal and written) and presentation skills
  • Demonstrable self-motivation, initiation and strong customer focus
  • Superior analytical skills with proven experience and skills in diagnosing problems
  • Ability to work independently
·         Knowledge of Chinese/Mandarin/German/French/Spanish language will be an advantage but not a necessity


Educational Requirement : B Com / BA / LLB
Experience : 1 - 3 years
