Job Description:
Office Support Management (“OSM”) is a new function within Business Support Management (BSM) in CB Finance & Business Management. OSM is accountable for the processing and controls in support of employee movement, asset and application provisioning and real estate moves.
OSM also directly manages a centralized administrative team across MMBSI to promote superior business coverage, talent development and mobility, consistency of communication and objective performance evaluations and compensation.
The team works closely with respective business managers, senior management and all related support groups (Business Management, Finance, HR, Real Estate, Compliance, Technology, etc.) 
This position is accountable for:
    • Managing a team of approximately 40+ Administrative Assistants dedicated to   the Midwest segment in MMBSI.  
    • Managing the Junior Office Support team in the Midwest
  • The ideal candidate will have a minimum of 10+ years of senior level administrative or other functional management experience, preferably in a large financial services organization.  Internal candidate is highly preferred. 
  • The ideal candidate must demonstrate a strong track record in successful people, business and project leadership at both a local and regional level. 
  • They must have strong HR background and experience, have highly effective communication and relationship building skills and can interact with all organizational levels. 
Primary responsibilities include:
  • Owns the responsibility for the end to end service delivery to the front office, both admin and office management support.
  • Manages a broad range of operational and control functions such as maintenance of floor plans, recertification of system entitlements and access, execution of real estate moves, manage technology asset capture and provide general white glove trouble shooting support for the Midwest segment
  • Independently own all facets of the performance management process and compensation recommendation to ensure all firm requirements are completed thoroughly and timely
  • Builds strong partnerships with all constituents.  Ensures business connectivity with the front office.  Is a strong partner to each business manager and stays current on all LOB initiatives.
  • Ensure superior level of day to day management of the admins and Junior Office Support Managers to deliver exceptional support to the business. 
  • Works with an appropriate level of independence to solve issues and escalates timely to the appropriate internal constituents
  • Consistently seeks to exceed expectations and demonstrates continuous improvement in service levels and general performance/process productivity
  • Builds an engaged and informed team and fosters collaboration and recognizes accomplishments
  • Is a thought leader and actively seeks opportunities to improve the infrastructure and builds consensus around solution
The ideal candidate will possess the following:
  • 10+ years managing 20+ direct reports or has experience developing junior managers.
  • Has strong Human Resources and/or operations management experience
  • Has prior experience in  a Financial Services organization
  • Is confident, organized and clear in all communications. Strong presentations skills required
  • Has exceptional judgment
  • Is highly collaborative with strong relationship and influence skills. 
  • Strong professional leader who excels at motivating both individual and team performance
  • Enforces a dynamic control/ compliance environment and continually mitigate risk in business processes
  • Provides thought leadership in strategic direction to improve admin productivity and leverage to the business
  • Has highly effective problem solving skills
  • Is independent, organized and consistently meets deliverables
  • Has demonstrated experience in leading large cross business projects
  • Proficient in Excel and PowerPoint an advantage
