Position Summary:

This is a part-time 3 day per week role.

The Executive Assistant is primarily responsible for providing administration support to the Custody & Fund Services Lead for Australia and New Zealand, the APAC Custody & Fund Services Platform Lead and where necessary, to the extended team.

Key Accountabilities / Major Responsibilities: 

  • Proactive diary management including arranging local and global meetings 
  • Responsible for domestic and international travel arrangements including building access and internal meeting organization 
  • On-boarding new staff (access requests, manage/track hardware assets) 
  • Invoice processing and expense claims management 
  • Maintain up-to-date organisational charts; location operating manual ; premises floor plans and floor access 
  • Provision of support for running of local management team meetings including data analysis and assistance with production of material e.g. action items, reports, presentations, speeches, background notes 

Qualifications & Experience Required: 

  • Minimum 5 years administration experience supporting at executive level within a large corporate organization
  • Excellent communication and organisational skills, both written and verbal
  • Advanced MS Office skills, particularly Word, PowerPoint, Excel and Outlook
  • Solid analytical capabilities
  • Exposure to or familiarity with working with SharePoint an advantage but not essential
  • Demonstrate the utmost discretion and professionalism at all time
  • Ideally have experience within the Financial Services Industry
