KYC Operations is a firm-wide utility supporting all Lines of Business in the completion of requirements to satisfy the firm’s Know Your Customer (KYC) standards.  We partner with Global Financial Crimes Compliance, all JPMorgan Lines of Business and their KYC Officers and Client Owners and other utilities such as Client List Screening and Client Reference Data Operations to support and maintain the integrity of our Client KYC information.
KYC Operations team is seeking a KYC Operations Administrative Assistant.
 
Job Description
 
The KYC Operations Administrative assistant key responsibilities include:
  • Proactive calendar management and associated tasks for senior managers, i.e.  Booking conference rooms, audio visual equipment, copies, preparing docs & scheduling meetings, etc.
  • Assisting in organizing events, including coordinating meetings and conference calls with other participants across multiple LOBs/locations
  • Business travel arrangement in line with corporate travel policies, including prior approval, booking airline tickets, car services, hotels, itineraries; preparing documents for business travel, e.g. visas, new/amended passports
  • Support senior visitors including logistical arrangements, coordinating their itinerary and offering necessary business and administrative during their visit.
  • Processing of T&E and other expense claims
  • Creating and maintaining team-related schedules and contact lists: vacation schedules, emergency contact lists, mail lists, telephone lists, Travel Request database, Leave database, etc.
  • Providing general support including photocopying, booking meeting rooms, stationery re-ordering, filing, etc.
  • Assisting in ad hoc project administration support when required
  • Handling and coordinating confidential items with appropriate caution and sensitivity.
  • Maintaining department’s records and handling phone enquiries
Qualifications
 
  • Demonstrable experience as an Executive secretary and administrator within a fast paced and demanding banking environment  
  • Proficiency in both written and spoken English
  • Excellent interpersonal & communication skills with experience working with a variety of cultures
  • Strong organizational skills, meticulous and self sufficient
  • Self-motivated and resourceful
  • Strong Microsoft Office capabilities across Outlook, Word, Powerpoint and Excel
  • Quick learner and reliable
  • Ability to maintain strong relationships both internally and externally as well as across global locations
  • Demonstrable experience of being able to achieve tight deadlines and multi-task.
