Role Purpose

 

Global Wealth Management (GWM) is part of the Asset & Wealth Management business segment.  It has offered for over 160 years customized solutions and client service of the highest quality to solve the complex needs of wealthy individuals and their families around the world.  With assets under management of $2.4 trillion, it is one of the largest asset and wealth managers in the world.

 

The Onboarding Officer Team forms part of the wider Client Onboarding team, with a particular focus on ensuring adherence to regulatory Anti-Money Laundering (AML) and Know Your Client (KYC) requirements. Key priorities of the OnBoarding Officers department include the review of client documentation at account opening, the maintenance of data in a variety of systems, regular review of existing client files and processing of any ad hoc changes requested by clients.

 

The jobholder will be responsible for the Account maintenance process, ensuring the right level of resources is allocated by market and volumes prioritized accordingly based on the defined procedure.

The jobholder will work in a fast paced environment where prioritization is key to succeed.

 

Principal Accountabilities:  Key activities and decision making areas

 

Business Results

  • Oversee the documentation updates production process;
  • Draw up a production schedule;
  • Contribute to resources allocation by market based on agreed priorities;
  • Draft a timescale for the process;
  • Set the quality standards and keep the rejection rate to the minimum;
  • Monitor the production processes and adjust schedules as needed;
  • Implement quality-control sample checks;
  • Creating and maintaining consistency regarding documents review cross markets
  • Work closely with members of the legal department and other control functions (e.g., Compliance and Risk) with the view to implement Best in Class processes
  • Align the knowledge, processes and practices cross markets;

 

 

Client / Customer focus

  • Ensure a good and smooth relationship with our key stakeholders, e.g. Business, Compliance, Legal, client Services to ensure the best client experience
  • Review and processing of most client-signed documentation throughout the life of an account.
  • Implement SLAs to minimise disruption and qualitatively enhance the client experience, along the line with reducing risk (time to process a Priority 0 document)

 

 

Teamwork & Leadership

  • Engage with other platforms globally to identify the Best In Class processes with the view to implement them in the Swiss platform after a legal and Compliance assessment phase;
  • Ensure that way that the teams are working with the Best in Class processes;
  • Write the relevant procedures to document the agreed approaches;
  • Coordinate and motivate a team of workers;
  • Participate to the team members performance review;
  • identify training needs and deliver it;
  • Work with Regional Team Managers to implement the company's policies and goals;
  • Promote the value of challenging the status quo, seeking to improve ways of working and having a forward-thinking mind-set, in line with the Firm’s Values and Strategy
  • Promote an environment of inclusion, diversity, collaboration and trust within the OnBoarding Officers Team

Risk, Control & conduct

  • The jobholder will also continually reassess the operational risks and likelihood of operational risk occurring. This will be achieved by reviewing risks associated with the role and inherent in the business, or as identified by the Management team, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new processes.
  • Support Risk Management requirements, ensuring risks are managed effectively within the team

     

     

Background

  • Bachelor's degree or higher in Finance or Law preferred
  • Experience in managing a sizeable team and delivering at pace in a pressured environment
  • Deep knowledge of the different structures open within the Wealth Management industry
  • Sound understanding of KYC/AML fields
  • Experience in implementing AML and KYC rules preferred
  • Project Management skills a definite plus
